How do travel agents handle baggage issues, waiting lists or special requests (sports equipment, wheelchair, instruments, etc.)?

Hahnair has no access to the reservation systems of our partner carriers.

The travel agency needs to contact the operating carrier directly for any special requests, waiting lists and (lost) baggage issues. Their contact information can be found in the section 'Partner Carriers' under the respective partner on the Hahnair website www.hahnair.com.

How do travel agents handle requests of passengers who want to travel with pets?

For any enquiries regarding pets, contact the (operating) partner carrier.

This procedure is the same for all Hahnair tickets including flights booked under the H1 (marketed by Hahnair Systems) and X1 (marketed by Hahnair Technologies) code.

When should a refund be requested via BSPlink?

Involuntary refunds need to be requested through a refund application via BSPlink (ARC and TCH agents need to contact Hahnair for refund authorisation at accounting@hahnair.com).

Voluntary refunds can be processed via GDS. In case assistance is needed, agents may submit a refund application via BSPlink.

For refunds processed via GDS, agents are responsible to process the refund correctly according to the applicable fare rules and Hahnair reserves the right to issue ADMs for miscalculations adding a charge of 30 EUR per ticket.

Hahnair’s refund service is free of charge which means no handling fees apply for refund applications submitted. Hahnair processes refund applications within 14 days after all necessary information have been submitted by the travel agency.

How do I apply for a refund?

Click here to obtain detailed information on how to process a refund for HR-169 tickets. A copy of the complete PNR history is always required to process the refund request.


Can Hahnair authorise a refund if the operating carrier makes a schedule change and no alternative flights are offered, or if the alternatives are not acceptable for the customer?

In general, a refund will be authorised for changes to the schedule of more than three hours.

This time frame may vary and depends on the operating carrier. In case more information is needed, send an email to service@hahnair.com

When the schedule change causes any misconnections on the itinerary, a refund can only be authorised if the affected flights are issued on the same HR-169 document. It is mandatory to cancel the booking before you apply for the refund.

How do I apply for an HR e-Payment Account?
Simply register on our website and go to the HR e-Payment section under “My Hahnair” and apply for an HR e-Payment Account free of charge.
I cannot load money to my HR e-Payment Account.

Contact your local bank for additional information about international transfers.

Alternatively, log-in with your Hahnair credentials and transfer money using your own credit card or any other form of payment accepted in your market. Check our Hahnair website www.hahnair.com for more information.

How do travel agents insert the passenger’s name when creating a booking?

The passenger’s first name and last name must be identical to those shown in the passenger’s passport.

For some airlines, the name length cannot exceed a certain number of characters, including spaces and titles. The number of characters permitted varies from airline to airline. Reservations that exceed the permitted number of characters can be automatically cancelled by the operating carrier or can simply not be transferred to the operating carrier for technical reasons.

How do travel agents use the Quick Check tool?

The Quick Check tool is in the center of the landing page of www.hahnair.com.

  • Select your country of ticketing
  • Choose the carrier(s) to issue on HR-169 and click on “check”. You can check a combination of up to five carriers by using the option ‘add carrier’. Please read the information and remarks shown in the result display carefully.
  • If you need a written confirmation, enter your contact details to get an answer via email.
Do HR-169 tickets include protection in case of carrier insolvency?

HR-169 documents automatically include Securtix®, Hahnair’s free insolvency protection.

If the flight of one of Hahnair’s partner carriers issued on a HR-169 ticket is cancelled due to insolvency of the operating carrier, Hahnair grants a full refund of the unused part of the ticket including taxes.

Additionally, Hahnair offers protection for stranded passengers and guarantees to reimburse costs that might arise in such an event.

Which airlines can be booked under the H1 and X1 code?

Under the H1 and X1 code, travel agents can book flights of airlines that are normally not available in their GDS under their own IATA code and issue them on the HR-169 ticket.
